Active sourcing tools: the decision
The tool you need depends on the gap in your workflow. There are three gaps, and each has its own kind of product. No tool closes all three on XING; buy one and you get one of them.
| What you are missing | Which kind of tool | Examples |
|---|---|---|
| Profiles: you find too few fitting candidates | The search: the network's recruiter product | XING TalentManager (Core or Pro); on LinkedIn: LinkedIn Recruiter |
| Process and history: who was contacted when, status, rejections | The system of record: ATS or recruiting CRM | Personio, softgarden, Recruitee; for staffing agencies a CRM like Bullhorn |
| The sending: open profiles, paste the message, chase follow-ups | A sending tool inside your own XING account | ZingBot, 135 € a month per seat |
| All of it | The combination; no product covers all three steps on XING | TalentManager + your ATS + ZingBot |
| Candidates on LinkedIn | LinkedIn automation; runs on LinkedIn only | Dripify, Waalaxy, LinkedHelper, Lemlist (no XING) |
The first three rows are independent. A good ATS finds no candidate at all. TalentManager writes to nobody on its own. And a sending tool without a list has nothing to do.
The search
On XING, the search is called TalentManager. Without it, a Premium account may send five messages a month to non-contacts, and 100 contact requests may be open at a time. Nobody sources seriously on that. TalentManager Core allows 200 messages a month, 300 for staffing agencies; Pro removes the quota. Search, filters, projects and templates are in both packages.
| Company | Core | Pro |
|---|---|---|
| 1 to 50 employees | 4,390 € | 5,690 € |
| 51 to 500 employees | 5,490 € | 7,190 € |
| over 500 employees | 6,190 € | 8,190 € |
| Staffing agency, 1 to 10 employees | 5,790 € | 7,590 € |
| Staffing agency, more than 10 | 5,990 € | 7,890 € |
You pay the year in advance, on a twelve-month term with three months’ notice. A licence belongs to one person; three sourcers need three. What separates Core from Pro, and when each tier pays off, is in the TalentManager cost guide.
Our view: the licence is the most expensive part of the stack, and most teams use it below its value. Pay 5,490 € a year for the search, then work the list by hand in the afternoons, and you have paid for the search and given the rest away.
The system of record
Your ATS or CRM records who was contacted when, who declined, and who wants no further contact. That is no side issue. Double contact is the most common cause of annoyed replies, and the blocklist has to hold for every tool. In-house teams mostly have Personio, softgarden or Recruitee for this; staffing agencies a CRM like Bullhorn. An active sourcing tool that builds a second truth next to it doubles the work.
ZingBot hangs off that list: at import you skip profiles you or your team have already contacted. Every reply lands in your XING inbox, and from there you update the status in the ATS.
The sending
The sending is the part TalentManager does not take off your hands and your ATS never will: open each profile, paste the message, fix the salutation, send the follow-up three days later. That is the part ZingBot takes. You import the list from a TalentManager search or project. You write the message and follow-ups once, with salutation, title and last name as placeholders. ZingBot works the list in your own XING account and stops as soon as someone replies; from there you run the conversation. The TalentManager import requires your own licence for XING TalentManager.
ZingBot costs 135 € a month per seat, one seat is one XING account, and the first 7 days are free. It saves up to 12 hours a week per employee, because exactly that manual work goes away. Because ZingBot works in your account, XING’s limits and security checks apply just as when clicking by hand; what XING throttles and checks is in Is XING automation safe? The workflow with import, message and follow-ups is on Automate XING TalentManager.
The other XING tools Google shows for this search have a different centre of gravity. XingZap is built around search, scraping and CSV export; sequences are a feature of a lead platform there. XingHelper is a suite of profiling, messaging and posting with export, and the messaging requires a XING Premium account. Xi-Butler is a Chrome add-on that runs in one person’s browser. Effixient, in 2025 still “the missing XING automation tool”, has been a parked domain since October 2026. ZingBot is built the other way round: a list you already have, worked inside your account, with the TalentManager import as the path for recruiters. For a recruiting team that sources in TalentManager, that is the right build; for lead lists from scraping, it is the wrong tool.
LinkedIn tools
Dripify, Waalaxy, LinkedHelper and Lemlist are the names that come up first. They are mature, well documented, and they automate LinkedIn, plus email. XING does not appear in them: a LinkedIn tool drives a LinkedIn account and reaches no XING profile and no XING inbox. It cannot pick up a project from TalentManager, however good it is. For a DACH team on both networks that means: Dripify for LinkedIn, ZingBot for XING, two campaigns, two inboxes. The details are in the comparison LinkedIn automation for XING; every comparison on one page is under Comparisons.
The sum
You pay for three things: TalentManager, 4,390 € to 8,190 € per licence and year; ZingBot, 135 € a month per seat; and your time for search, selection and conversations. The rule of thumb for ZingBot: 135 € divided by your fully loaded hourly rate. At 45 € that is three saved hours a month, and a list of forty profiles with two follow-ups costs more than that by hand. The ROI calculator turns that into a yearly projection with your numbers.
The checklist
Before you buy any of the three tools:
- Your target jobs are visible on XING: a real vacancy in the search, no demo search.
- The tool works in your own account and picks up the list where it lives: a search or project in TalentManager.
- It stops on reply, at once and per person.
- Profiles already contacted are skipped at import; your ATS blocklist still holds.
- Salutation, title and last name as placeholders, and a message that would be good by hand too.
- One price per seat, cancellable at the end of the billing period.
- Anyone promising to get around XING’s limits is promising something your account pays for.
- Data protection is settled before the start, with your privacy function.
The frame for that is the General Data Protection Regulation: purpose, legal basis, information and objection belong in your process and your ATS. No tool takes that over, and your privacy function signs off the workflow.
The pilot
- One real vacancy, one small list. Twenty to thirty profiles from TalentManager, each looked at one by one.
- Note the baseline. How long do search, list, messages and follow-ups take today? Without that number you will know nothing afterwards.
- Write the message and two follow-ups once. With salutation, title and last name; import the list into ZingBot, free for 7 days.
- Count what counts. Replies, misfits, duplicates and the time to your response; the number of messages sent is beside the point.
- The first reply comes in. ZingBot stops for that person, and you run the conversation: questions, salary band, a date.
Questions about active sourcing tools
What is an active sourcing tool?
Software for one of three jobs: finding candidates, keeping the record, or sending the outreach. On XING those are three different products: TalentManager, your ATS and a sending tool like ZingBot. No single product covers all three on XING.
Which active sourcing tool is right for XING?
That depends on the gap in your workflow. Missing profiles means TalentManager; missing history means your ATS; missing time for the sending means ZingBot. Most results for this search are LinkedIn tools, and on XING they reach nobody.
Do I need XING TalentManager for active sourcing?
For serious sourcing, yes. A Premium account may send five messages a month to non-contacts, TalentManager Core 200, and Pro removes the quota. The licence costs 4,390 € to 8,190 € a year, depending on package and company size.
How much does an active sourcing tool cost?
On XING there are three items: TalentManager at 4,390 € to 8,190 € per licence and year, ZingBot at 135 € a month per seat, and your working time for search, selection and conversations. The ROI calculator turns that into a yearly figure with your hourly rate.
Do Dripify, LinkedHelper or Lemlist work with XING?
No. They are LinkedIn tools; they drive a LinkedIn account and email, and XING does not appear in the products. If you find candidates in TalentManager, you need a tool that works in XING.
What exactly does ZingBot do?
You import a list from a TalentManager search or project and write the message and follow-ups once, with salutation, title and last name. ZingBot works the list in your own XING account and stops as soon as someone replies. Search, selection and the conversation stay with you.
How does ZingBot fit with my ATS?
ZingBot does the sending; the status stays in the ATS. At import you skip profiles you or your team have already contacted. Every reply sits in your XING inbox, and from there you update the record.
Is an active sourcing tool safe on XING?
ZingBot works in your own account and does what you would do by hand; XING's limits and security checks still apply. A security check is answered by a person, and ZingBot waits meanwhile. The full answer is in the guide on XING automation safety.
How many candidates may I message a day?
XING publishes no daily figure. It caps open contact requests at 100, or 500 with a TalentManager licence, and messages to non-contacts per month by package. With TalentManager you message non-contacts directly, so the package quota is what counts.
Can one tool cover LinkedIn and XING?
Not for the outreach. The networks are not connected, and a LinkedIn tool cannot reach a XING inbox. Two tools, two campaigns, two inboxes; your ATS is the one place where both come together.
How do I test an active sourcing tool before buying?
With a real vacancy, a small list checked by hand, and a baseline: how long search, list and messages take today. Then count replies, misfits and the time to your response. ZingBot is free for 7 days.
